Operations & Account Support Coordinator (Fully Remote for US-Based Client)

We are looking for a proactive Operations & Account Support Coordinator to serve as a key point of contact for our team members and clients. This role focuses on maintaining high engagement, resolving support issues, and ensuring that our operational "engine" runs smoothly through consistent communication and account health monitoring.

Key Responsibilities:

Account and Team Support (Primary Focus)

  • Manage the WhatsApp announcement group and handle daily team member WhatsApp communications to ensure clear information flow.
  • Actively monitor and address client and team member support tickets, resolving issues or escalating as necessary.
  • Conduct feedback sessions with team members and prepare detailed feedback reports.
  • Assist in sending and responding to client messages to maintain strong professional relationships.
  • Prepare invoices for team members.
  • Create finance-related tickets for the accounting team. 
  • Verify weekly Clockify entries and review leave form submissions to ensure accurate reporting.

Onboarding and Offboarding Coordination

  • Prepare candidate invoice templates and membership portal access.
  • Execute offboarding tasks, including status updates in Monday.com.

Recruitment Support

  • Provide secondary support for posting job listings and screening applications.

Content Support

  • Assist with publishing approved marketing content and updating the membership portal.
  • Update internal documents and assets as needed.

Qualifications

  • Must have experience working in a remote environment within the US Industry.
  • Prior experience with Monday.com, Clockify, Google Workspace, and HubSpot is highly preferred.
  • Ability to manage high-volume data entry with 100% accuracy.
  • Strong written communication skills for managing support tickets and contractor interactions.

  • High-speed fiber internet (minimum 50–100 Mbps).
  • Own laptop/desktop with external monitor.
  • Stable backup power supply.
  • Quality headset with a built-in microphone.
  • Availability: Monday–Friday during U.S. time zones.
