Remote Assistant Construction Project Manager

We are looking for a Remote Assistant Construction Project Manager to support the successful planning, coordination, and execution of residential construction projects.

You will work closely with project managers, contractors, designers, and internal team members to help keep projects organized, documented, and moving forward. The ideal candidate understands construction workflows, can manage details without constant supervision, and knows how to communicate clearly with multiple stakeholders.

This is not a purely administrative role. It requires you to think like a project coordinator, understand construction priorities, track deadlines, catch missing details, and help project leaders stay ahead of issues before they become larger problems.

Please note this role is fully remote, operating alongside a US design-build company.

Key Responsibilities:

Project Coordination

  • Support project managers with day-to-day coordination across active residential construction projects.
  • Track project milestones, deadlines, deliverables, approvals, and open action items.
  • Help maintain project schedules and follow up with stakeholders to keep work moving.
  • Coordinate communication between contractors, designers, consultants, clients, and internal team members.
  • Prepare meeting agendas, notes, summaries, and follow-up task lists.
  • Help identify bottlenecks, missing information, or delayed decisions that may impact project timelines.

Construction Documentation

  • Organize and maintain project files, drawings, permits, contracts, estimates, change orders, schedules, invoices, and related documents.
  • Assist with reviewing project documentation for completeness and consistency.
  • Track requests for information, submittals, material selections, approvals, and revisions.
  • Support the preparation and updating of project trackers, task lists, and status reports.
  • Ensure key project details are accurately reflected in the company’s project management systems.

Budget, Billing, and Change Order Support

  • Help track budgets, estimates, invoices, payment status, and change order documentation.
  • Support project managers in organizing contractor pricing, vendor quotes, and cost updates.
  • Flag discrepancies, missing backup, or unclear billing items for review.
  • Help ensure project financial information is organized, current, and easy for the team to reference.

Permitting and Municipal Coordination

  • Assist with tracking permit submissions, corrections, approvals, inspection requirements, and municipal communications.
  • Help organize documentation required for city, county, or jurisdictional review.
  • Follow up on outstanding permit-related items and keep internal teams updated on status.
  • Maintain clear records of permitting milestones and requirements.

Contractor and Vendor Coordination

  • Communicate with contractors, subcontractors, consultants, suppliers, and vendors to gather updates, documents, pricing, and scheduling information.
  • Help coordinate site-related needs, inspection scheduling, material timelines, and contractor deliverables.
  • Support the team in keeping contractors accountable to timelines, scope, documentation, and communication expectations.
  • Escalate concerns when project execution, communication, or documentation appears to be slipping.

Client Communication Support

  • Help prepare clear and professional client updates.
  • Support project managers in keeping clients informed about schedules, next steps, approvals, and open decisions.
  • Maintain a polished and service-minded communication style.
  • Help reduce confusion by keeping project information organized, current, and accessible.

Required Qualifications:

  • Experience supporting construction, architecture, design-build, real estate development, or project management teams.
  • Familiarity with residential construction workflows, project phases, documentation, estimates, schedules, permits, and change orders.
  • Strong organizational skills and close attention to detail.
  • Excellent written and verbal English communication.
  • Ability to manage multiple projects, tasks, and deadlines at once.
  • Comfortable working with project management software, spreadsheets, shared drives, and communication tools.
  • Professional judgment, discretion, and reliability.

Preferred Qualifications:

  • Experience with custom homes, ADUs, additions, remodels, or residential design-build projects.
  • Experience supporting U.S.-based construction or architecture teams.
  • Familiarity with permitting processes, inspections, municipal coordination, or construction administration.
  • Experience with tools such as Buildertrend, CoConstruct, Procore, Monday.com, Asana, Airtable, Google Workspace, Microsoft Office, or similar platforms.
  • Basic understanding of construction drawings, specifications, scopes of work, and contractor estimates.
  • Experience coordinating remote teams or supporting project managers virtually.
  • Familiarity with California, Oregon, or West Coast construction processes is a plus.
