We’re looking for a highly experienced and tech-savvy Executive Assistant to provide dedicated support to our executive leadership team, including the CEO, CFO, and other senior stakeholders. In this fully remote role, you’ll play a critical part in ensuring the day-to-day operations of our leadership team run smoothly and efficiently.

You’ll manage executive calendars, coordinate complex travel logistics, handle high-level communications, and support seamless virtual collaboration across time zones.

Key Responsibilities

  • Provide dedicated executive support to C-suite leaders, ensuring smooth day-to-day operations.
  • Oversee and maintain complex calendars, coordinating meetings and appointments across multiple time zones.
  • Schedule and facilitate virtual meetings, including booking digital meeting spaces and ensuring seamless tech integration.
  • Draft, format, and proofread high-level correspondence, presentations, and internal reports.
  • Serve as the primary point of contact between executives and internal teams, clients, and external partners.
  • Maintain strict confidentiality and handle sensitive information with a high degree of discretion.
  • Monitor and follow up on key initiatives, deadlines, and deliverables to keep leadership aligned and on track.
  • Manage the inboxes, prioritizing, responding to, and flagging important messages, while maintaining an organized and streamlined communication process.
  • Take on various one-off projects as assigned by the CEO, managing these tasks independently, meeting deadlines, and ensuring that deliverables are met with high standards.

What We're Looking For 

  • 5+ years of experience as an Executive Assistant or in a high-level administrative support role.
  • Outstanding organizational and multitasking skills, with the ability to prioritize effectively in fast-paced environments.
  • Clear, professional, and responsive communication style - both written and verbal.
  • Proficient with calendar management tools and project/CRM platforms (e.g., Google Calendar, Asana, Salesforce).
  • Confident using communication tools like Zoom, Slack, and similar platforms.
  • Sharp attention to detail paired with a proactive, problem-solving approach.
  • High level of discretion and sound judgment when handling sensitive and confidential information.

Other Requirements

  • High-speed fiber internet (minimum 50–100 Mbps).
  • Own laptop/desktop with external monitor.
  • Stable backup power supply.
  • Quality headset with a built-in microphone.
  • Availability: Monday–Friday during U.S. time zones.
