Virtual Executive Assistant (Fully Remote for US-Based Client)

We’re looking for a highly organized, proactive Executive Assistant to support leadership teams and CEO's to ensure the smooth day-to-day operation of our business functions. In this fully remote role, you'll be a trusted right-hand to executives, managing calendars, coordinating across departments, handling sensitive communications, and keeping operations running efficiently. This is an ideal position for someone who thrives in a fast-paced environment, communicates with clarity, and has a keen eye for detail. 

Key Responsibilities:

  • Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
  • Draft and manage internal and external communications, including emails, contracts, NDAs, and other official documentation.
  • Coordinate cross-functional meetings, manage logistics, and ensure timely follow-ups across multiple time zones.
  • Organize and maintain records, databases, and filing systems, ensuring information is up to date and confidential data is handled securely.
  • Monitor task progress and manage executive workflows, escalating issues where necessary.
  • Liaise with internal teams and external stakeholders, including clients and vendors, on behalf of executives.
  • Anticipate the needs of leadership and proactively solve problems before they arise.

Other Requirements:

  • Excellent WIFI (minimum 50 -100Mbps speed)
  • Own Laptop or desktop computer
  • External Monitor
  • Sufficient backup power supply for power outages
  • Good quality headset with a built-in microphone
  • Working hours are Monday to Friday (US Time Zones)
